Meeting commenced at Ellen Taylors residence at 1830 with Sherri Heffelfinger, Ellen Taylor, Amy Palmer, Julie Muscutt, Anne Perkins and Guest Art Hefflefinger.
Discussion on members from the member list that AHA lists. New and renewed members notices are sent to Amy with a check and the on line membership list is updated on the AHA website. Members that are not also AHA are not added to this list and can’t be added on their site. We want to make sure we keep that list current and make sure that all members are notified on meetings and events. Members that are remote and not active should be made to feel a part of this club. By consensus it was decided to mail welcome notes to new members and maybe a couple times a year send them a letter with events through the mail. Hopefully this will help some of the members to feel closer to the club and maybe they would take a more active role in the decisions.
Treasurers report by Amy, $2600.00 this amount is up from $1768.00 last year.
Ride Budget was discussed. Amy gave information to final costs to Sheri. Several members used their own money’s for fuel, food and supplies.
Guest Art Hefflefinger is interested in the safety of the riders and officers at the ride. His back ground is Medical Response. He offered to research the AERC insurance to make sure volunteers and bystanders are covered as well as rider entries.
Prized left over from last year report by Juli, 10 total wind spinners, 2 tote bags with the Logo and Helena trailer sales logo on them. We had 70 entry’s in 2008. Small discussion of what kind of completion awards for next year. Ellen brought up that she saw a site that would make 70 coffee cups with logo on it for $2 to $3 dollars, Drin’s email about the chap stick holders was discussed. No decisions until March. Please present ideas for completion awards by Feb 10th meeting.
Task list for Endurance Ride discussed. Julie volunteered to add marking the road to camp to her list on being trail boss.
Need a volunteer to head up the food committee, Saturday night dinner and lunch and snacks for the out vet check.
